Terms of Use
Last updated: 15 October 2026
These terms are the agreement between you and TranscribeChat when you buy a document. By uploading a conversation or paying for one, you accept them.
The service
TranscribeChat turns a WhatsApp chat export into a Word file and a PDF. The documents hold the whole conversation in order, with date, time and sender for each message.
Each voice message appears as a transcript in its place. Photos appear in their place, and the PDF carries the original voice recordings as attached files.
TranscribeChat is run by André Daniel Souza Silva, an individual based in Portugal.
Who can use it
You must be at least 18 years old to use TranscribeChat. You need no account to buy.
Your content and your right to upload it
You keep every right to your conversation. We use it only to make and deliver your documents, as the Privacy Policy describes.
A conversation also holds messages from other people. You confirm that you have the right to share this conversation with us and to use the documents for your purpose.
Upload only conversations you take part in, or that you have a lawful reason to use. You are responsible for how you use the documents.
What we deliver, and its limits
The documents reproduce the export exactly as WhatsApp produced it. We do not check whether the export is complete or authentic.
Transcription is automatic and can contain errors, especially with names, accents, noise or several people speaking. A voice message that cannot be read, for example an empty or damaged file, is marked at its place with its duration.
Voice messages and photos missing from your export cannot appear in the documents. The screen before payment shows how many are missing.
The documents are not a forensic certification and not legal advice. Whether a court or authority accepts them is for that court or authority to decide.
The attached recordings open on a computer in Adobe Acrobat Reader or Firefox; other PDF viewers, including Preview, Chrome, Safari and phones, may not open them. If the PDF with recordings is very large, we also offer a version without them.
Price and payment
You pay once per conversation. There is no subscription, no credit and no balance.
The price depends on the total length of the voice messages. Every order costs at least 5 US dollars or 5 euros, which covers the first 30 minutes of audio.
Audio minutes are the measured length of every voice message, added up and rounded up to the next whole minute. Each further minute costs less than the one before, and the price screen shows how the number is built.
Our server measures the voice messages again before you pay. If its number differs, the screen shows the new price before the pay button turns on.
Stripe takes the payment. The checkout page shows the final amount, including any tax, before you pay, and you pay that amount and nothing more.
Declined cards and double payments
If your card is declined, your order stays open and you can try again. You cannot be charged twice for one order.
If two payments reach the same order, for example from two open tabs, we refund the second one automatically and tell you by email.
If you upload the same file again while its order is still valid, we do not create a new order. We offer to send the link again to the email that paid.
Delivery and automatic refunds
Delivery usually takes minutes, but we do not guarantee a time. If you pay before the upload has finished, keep the page open; processing starts when both the payment and the upload are complete.
If processing fails, we retry once. If the retry fails too, we hold your order for up to 48 hours to fix the problem and email you the deadline.
If there is no valid document by that deadline, we refund the full amount to your card automatically and tell you.
A single unreadable voice message is not a failure. It is marked in the document, the order is delivered, and it does not lead to a refund.
For any other refund request, write to support@transcribechat.com. A person reviews each request; the system never decides it alone.
We send a refund to your card through Stripe. Your bank may take a few days to show it.
Right of withdrawal
When you pay, you ask us to start making your documents right away. If you live in the European Union, your 14-day right of withdrawal ends once the documents are delivered.
This does not limit any other right you have under consumer law.
The 7-day download window
We email you a download link when your documents are ready. The link works for 7 days.
After 7 days, we delete your conversation, the recordings, the transcripts and the documents. We cannot recover them, so save your copies in time.
The optional account
You can set a password only from the link in your order email. That creates an account for the email address that paid.
Signing in shows your orders that have not expired. A forgotten password is reset the same way, from an order link.
Keep your password private. If you delete your account, we delete the content of every order that is still valid, at once.
Acceptable use
We may refuse or stop an order that breaks these rules. You may not:
- Upload a conversation you have no right to share
- Use the service for anything illegal, or to harass or harm another person
- Upload content that is illegal to hold or share
- Alter an export and present the documents as an unchanged WhatsApp record
- Attack, overload or try to break into the service
Intellectual property
The TranscribeChat website, its software and its design belong to André Daniel Souza Silva. Your conversation and your documents stay yours.
Limits of liability
We make the service with care, but we provide it as it is. We are not liable for indirect or consequential losses, such as lost profit or the outcome of a dispute.
Our total liability for an order is limited to the amount you paid for it.
These limits do not apply where the law forbids them, such as for intent, gross negligence, or harm to life and health. They never reduce your mandatory rights as a consumer.
Governing law
These terms are governed by Portuguese law. If you use TranscribeChat as a consumer, you keep the protection of the mandatory consumer laws of the country where you live.
You may bring a dispute before the courts of that country or of Portugal.
Changes to these terms
We may update these terms. The date at the top shows the latest version.
An order you already paid follows the terms that applied when you paid.
